Honest comparison
AI receptionist vs. voicemail: what callers actually experience
Voicemail costs nothing and every business already has it. An AI receptionist costs a monthly fee, but it answers the caller's question, books the appointment and routes the emergency during the call. The right choice depends on what your missed calls are worth.

The short answer
Voicemail records a message and waits for you. An AI receptionist has a conversation and gets the caller what they need, then tells you what happened. If most of your callers are ready to book or buy, and they have other businesses they could call, an AI receptionist will usually capture more of them. If your calls are rare, non-urgent and almost always from existing customers who will wait for you, voicemail may be enough.
Side by side
| Voicemail | AI receptionist | |
|---|---|---|
| Cost | Usually included with your phone line | Monthly plan; Wirepilot AI starts at $129 CAD |
| Answers the caller's question | No | Yes, from answers you approve |
| Books appointments | No | Yes, into your calendar during the call |
| Urgent calls | Wait until you check messages | Transferred to a person right away |
| Complete information | Often missing number, address or reason | Asks follow-up questions until it has what you need |
| French and other languages | Only if you record a bilingual greeting | Answers in the caller's language |
| Your time | Listen to each message, call back, often phone tag | Read a short summary; many calls need no follow-up |

What happens when a caller reaches voicemail
Think about how you behave when you call a business. If you need a plumber tonight, a dentist this week or a quote for a job, and the call goes to voicemail, what do you do? Many people hang up without leaving a message and try the next business. Some leave a message and keep calling others anyway, then go with whoever calls back first.
That's the hidden cost of voicemail: you never see the callers who didn't leave a message. Your voicemail box looks manageable, but it doesn't show the ones you lost.
Where voicemail still makes sense
Voicemail isn't always wrong. It can be the right choice if:
- You get very few calls, and nearly all are from people who already know you and will wait.
- Your calls are rarely urgent and rarely about booking.
- You can reliably return every call within minutes.
It also works as a backup. Some owners forward calls to an AI receptionist only after hours or when they don't pick up, and never think about voicemail again.
What an AI receptionist does differently
An AI receptionist picks up on the first ring and has a normal conversation. It asks the questions you'd ask, answers from the information you've approved, and does the task: books the appointment, takes a complete message, or transfers an urgent call to you. Then it sends you a short summary by text and email.
The biggest change isn't just that calls are answered. It's that many calls are finished: the booking is made and the question answered, with no callback needed.
How to decide
Start with numbers. Count how many calls you miss in a typical week (your phone provider's call log will show missed and unanswered calls). Estimate how many of those were new customers and what a new customer is worth to you. The missed-call calculator does the arithmetic and shows which plan pays for itself.
If the answer is "not many calls and not much money", keep voicemail. If it's more than a few customers a month, an AI receptionist is likely to pay for itself.
Try it without changing anything
You can test an AI receptionist without giving up voicemail: forward only after-hours calls for a week, or only calls you don't pick up. Every Wirepilot AI plan starts with a 7-day free trial, and setup is done for you.

Common questions
Isn't voicemail good enough for a small business?
It can be, if you get few calls and callers will wait. If people call you to book or buy, and they can easily call a competitor, voicemail usually loses some of them without you knowing.
Can I keep voicemail as a backup?
Yes. You can forward calls to the AI receptionist only after hours or when you don't answer, and keep your existing setup otherwise.
Will callers prefer voicemail to talking to AI?
Most callers want their problem solved. A natural conversation that books their appointment is usually a better experience than leaving a message and waiting.
How do I know how many calls I miss?
Your phone carrier or VoIP system's call log shows missed and unanswered calls. Compare that to your voicemail count: the difference is callers who hung up.
