AI receptionist vs. answering service: costs, pros and cons

By the Wirepilot AI team · · 7 min read

The short answer

A traditional answering service uses human agents who answer calls for many businesses and mostly take messages. An AI receptionist uses conversational AI trained only on your business, and can book, answer and route calls itself. Answering services are usually billed per minute or per call; AI receptionists are usually a monthly plan with included minutes. Which costs less depends on your call volume and what you need done on each call.

Two ways to have your phone answered

When you can't answer your own phone, there are two main outsourced options.

A traditional answering service (sometimes called a live answering service or call centre) employs agents who answer calls on behalf of many businesses. When your line forwards to them, an available agent sees your account's script and answers in your business's name. They typically take a message and send it to you, and some offer appointment booking or call patching for an extra fee.

An AI receptionist (or AI answering service) is software that answers your calls with a conversational AI voice. It's trained on information about your business and connected to your calendar and tools, so it can complete tasks during the call instead of passing them on. See what an AI receptionist is for the full explanation.

How the costs work

Pricing is where the two differ most, and where it's easy to compare the wrong things.

Traditional answering services

Human answering services generally price in one of these ways:

  • Per minute of agent time, often with a monthly minimum.
  • Per call, sometimes with limits on call length.
  • Bundles of minutes or calls per month, with overage rates.

Many also charge for extras such as after-hours or holiday coverage, appointment scheduling, call patching (transferring to you), bilingual agents, or setup and script changes. Rates vary widely between providers, so the only reliable comparison is a quote based on your own call volume.

AI receptionists

AI receptionists are usually priced as monthly plans with included minutes and a per-minute rate beyond that. Some charge setup fees or require you to build the agent yourself.

For example, Wirepilot AI's plans in Canadian dollars:

PlanMonthlyIncluded minutesExtra minutes
Starter$129300$0.45/min
Growth$249500$0.40/min
Pro$4991,200$0.40/min

Setup is free and done for you, there are no contracts, and every plan has a 7-day free trial. Full pricing.

How to compare them fairly

  1. Pull your call log for a typical month: how many calls, and roughly how long each lasts.
  2. Decide which calls you'd send: all of them, overflow only, or after hours only.
  3. Ask each provider for a monthly estimate for that volume, including every add-on you'd need (booking, transfers, French, after-hours).
  4. Compare what happens on each call, not just the price. A service that books the appointment saves you a callback; one that takes a message doesn't.

Pros and cons of a traditional answering service

Pros

  • Real people. Agents can use judgement and empathy in unusual situations.
  • Familiar to callers. Some callers simply prefer a human.
  • Good for complex, unscripted calls, when you need a person to think on their feet.

Cons

  • Messages, not outcomes. Many calls end with "I'll pass that on", and you still have to call back.
  • Shared attention. Agents cover many businesses, so knowledge of yours is limited to a script.
  • Hold times at peak. When many clients' calls spike at once, callers can wait.
  • Costs rise with every minute. Longer calls and busy months mean bigger bills.
  • Language coverage depends on which agents are on shift.

Pros and cons of an AI receptionist

Pros

  • Instant answer, every time. No queue; many calls answered at once.
  • Completes tasks. Books into your calendar, answers from your information, qualifies leads and routes urgent calls.
  • Consistent. Same approved answers on every call.
  • Predictable cost. Monthly plan with included minutes.
  • Languages. Answers in the caller's language; Wirepilot AI includes English and French on every plan.
  • Full records. Recording, transcript and summary for every call.

Cons

  • Not a person. A small share of callers will want a human; you'll want to allow transfers or messages for them.
  • Setup quality matters. A poorly configured AI agent gives poor answers. Choose a provider that sets it up and tunes it with you.
  • Edge cases. Very unusual or emotionally complex calls are better handed to a person.

Which is better for your business?

An AI receptionist tends to fit best when:

  • Most calls are bookings, common questions, quotes or routing.
  • Calls come in bursts, like Monday mornings, storms or ad campaigns.
  • You want callers helped fully on the first call.
  • You need French or other languages.
  • You want a predictable monthly cost.

A human answering service tends to fit best when:

  • Many calls need judgement that's hard to write down.
  • Your callers strongly expect a person.
  • You're comfortable with per-minute pricing and message-taking.

Many businesses use both, or use an AI receptionist alongside their own staff: the AI handles the bulk of routine calls, and people take the ones that need them. With Wirepilot AI, you choose exactly which calls get transferred to a person.

Examples by industry

  • A plumbing company gets bursts of emergency calls. An AI receptionist answers them all at once, sends real emergencies to the on-call plumber and books the rest. AI receptionist for plumbers.
  • A dental clinic mostly gets booking and insurance questions. The AI books into the schedule and answers approved billing questions, while staff focus on patients. AI receptionist for dental clinics.
  • A law firm needs consistent intake and careful routing. The AI asks the intake questions and books consultations, and never gives legal advice. AI receptionist for law firms.

A day with each: the same five calls

To make the difference concrete, here's how five ordinary calls to a small physiotherapy clinic might go with each option.

7:40 a.m. A new patient with a sore back wants an appointment this week. With an answering service, the agent takes a name and number and promises a callback; the clinic calls back at 9:30 and reaches voicemail. With an AI receptionist, the patient is offered two times, books Wednesday at 5:15 and gets a text with the intake form.

10:15 a.m. An existing patient needs to move tomorrow's session. The answering service takes a message. The AI receptionist moves the booking in the calendar and frees the old slot.

12:30 p.m. Three calls arrive in the same minute. With a shared agent pool, one or two callers may wait on hold. The AI receptionist answers all three.

6:45 p.m. A caller asks, in French, whether the clinic direct-bills their insurer. It depends on whether a French-speaking agent is on shift. The AI receptionist answers in French from the clinic's approved billing answer.

9:10 p.m. A patient asks whether a new pain after an exercise is normal. Both should decline to give clinical advice and pass the message to the physio. This is a call where a person's judgement matters, and a good AI receptionist knows to hand it on.

By the next morning, the clinic using an answering service has four messages to return. The clinic using an AI receptionist has two bookings made, one appointment moved, a French question answered and one message for the physio.

Hybrid setups that work well

You don't have to choose one tool for every call. Common combinations:

  • AI for overflow, staff for the rest. Your team answers as usual; unanswered calls go to the AI receptionist.
  • AI after hours, people during the day. Forward calls at closing time.
  • AI first, people for specific calls. The AI answers everything and transfers the calls you've chosen, such as existing clients or complaints, to a person.

Questions to ask before you choose

  1. Will you book into my calendar, or send me messages?
  2. How fast are calls answered at my busiest time?
  3. What exactly will I pay each month, with every add-on I need?
  4. Who writes my script or setup, and how fast can it change?
  5. Can calls be answered in French, at every hour?
  6. Can I listen to recordings of my calls?
  7. How is caller information stored, and who can see it?
  8. Is there a contract, and can I try it first?

Switching from an answering service

If you already use an answering service, switching is straightforward. Collect the script or instructions you gave them, plus a month of their message reports, so your new setup covers the same questions. Check your contract's notice period. Then run the AI receptionist on after-hours calls first while the old service covers the day, compare the results for a week or two, and move the rest when you're comfortable. Because both work by call forwarding, switching back is just as easy.

The bottom line

A traditional answering service gives you people who take messages. An AI receptionist gives you software that finishes the job on the call. For most small businesses whose calls are about booking, questions and quotes, an AI receptionist answers faster, does more and costs less as volume grows. If your calls need human judgement, keep a person in the loop, and let the AI handle everything else.

Frequently asked questions

Is an AI receptionist cheaper than an answering service?

Often, especially as call volume grows, because it's a monthly plan rather than per-minute agent time. Compare quotes based on your own call log, including every add-on.

Can an AI receptionist replace an answering service completely?

For many businesses, yes. Others keep a person for certain call types and let the AI handle the rest.

Do answering services book appointments?

Some do, often as an add-on. An AI receptionist like Wirepilot AI books into your calendar as a standard feature.

Which handles French better?

It depends on the provider's staffing. Wirepilot AI answers in English and French on every plan, at every hour.
