- It acts. It can check your calendar and book a slot, look up an answer from your approved information, collect details for a quote, or transfer the call.
- It speaks. A natural-sounding synthetic voice replies, fast enough that the conversation flows.
- It reports. You get a short summary after the call, and the recording, transcript and outcome appear in your dashboard.

What an AI receptionist can't (or shouldn't) do
Being clear about limits is how you avoid disappointment.
- It doesn't give professional advice. A good AI receptionist is set up never to give medical, legal, financial or safety advice beyond basic instructions you approve (like "call 911" or "turn off the water main"). Those questions become messages or consultations with a qualified person.
- It only knows what you've told it. If a caller asks something outside its information, it should say it'll pass the question on, not guess.
- It can't do physical tasks. It won't greet visitors, take payment at a counter or find a file on your desk.
- It isn't perfect. Speech recognition can mishear a name or a street. That's why summaries, recordings and a quick review habit matter, especially in the first weeks.
- Some callers want a person. You decide whether those calls are transferred or taken as a message.

Ask these questions before signing up with anyone:
- Who sets it up? A blank AI agent needs a lot of work to sound like your business. Do they write and test your greeting, answers and booking rules, or do you?
- Does it book into my calendar? Ask which calendars and booking tools it connects to, and test a booking yourself.
- Can it transfer calls, and to whom? Check it can send urgent calls to different people at different times.
- Does it speak my customers' languages? In Canada, French matters. In big cities, other languages do too.
- What happens when it doesn't know an answer? It should take a message, not guess.
- Can I hear my calls? Recordings and transcripts are how you check quality.

Common myths about AI receptionists
"Callers will hang up as soon as they hear it's AI." Some will, just as some hang up on voicemail or hold music. Most callers stay when the conversation is natural and they get what they need quickly. Being upfront in the greeting, and offering a person when asked, keeps trust intact.
"It will make things up." A poorly configured AI can. A well-configured AI receptionist is instructed to answer only from the information you've approved and to take a message when it doesn't know. Reviewing a sample of calls in the first weeks is the best way to check.
