What does an AI receptionist do?
An AI receptionist answers your phone, understands what the caller wants and takes care of it during the call. It does the same work as a front-desk person on the phone: it greets the caller, answers questions, books the appointment and passes on anything it can't handle.
With Wirepilot AI, each call follows a simple path:
- It picks up on the first ring, day or night, with your greeting in your business's name.
- It listens and asks follow-up questions, the way a trained receptionist would ("Is this for a new patient or an existing one?", "What's the address for the job?").

How is it different from voicemail or an IVR menu?
Voicemail asks the caller to do the work and wait. A phone menu ("press 1 for sales") makes them sort themselves before anyone helps. An AI receptionist has a conversation instead. The caller says what they need in their own words and gets it handled.

How does it know about my business?
We train it for you. During setup, we go through your services, prices you're happy to share, hours, service area, booking rules and the questions your callers ask most. We write the greeting and the answers, and test calls with you before it goes live. You can change anything later from your dashboard, or ask us to.
It only answers from what you've approved. When a caller asks something outside that, it says it'll pass the question on, takes the details, and sends them to you. That's what a good new hire would do.
How does it book appointments?
It checks your real availability and books while the caller is on the line. Wirepilot AI has a built-in booking system that syncs with Google Calendar and Outlook Calendar, and it connects to booking tools such as Calendly, Cal.com, Acuity Scheduling and Wix Bookings. What happens with urgent calls?
You decide what counts as urgent, and where it goes. A burst pipe, a patient in pain, a tenant locked out, a client with a court date tomorrow. The receptionist recognises those calls, tells the caller what's happening, and transfers them to the right person's phone. If nobody answers, it takes the details and alerts you by text. Does it work in French and other languages?
Yes. English and French are on every plan, and the receptionist answers in the language the caller uses. What is the difference between an AI receptionist and an AI answering service?
The terms are used for the same thing: software that answers your business calls with a conversational AI voice. "AI answering service" usually stresses taking calls you'd otherwise miss. "AI receptionist" stresses doing front-desk work, like booking and routing. Wirepilot AI does both.
Can it answer more than one call at a time?
Yes. Every plan handles up to 20 calls at the same time, so a busy Monday morning doesn't mean busy signals.
What if a caller insists on talking to a person?
You choose. It can transfer the call to you or a staff member, or take a detailed message and promise a callback. Many owners transfer during business hours and take messages after hours.
Can I hear the calls?
Yes. Every call has a recording, a transcript and a short summary in your dashboard. You also get a text and email after each call.
Does it work with my phone system?
