New patient booking a cleaning

Answered
  1. Caller: Just moved to the area and wants a cleaning and check-up for herself and her son.

Why dental front desks miss calls

A dental front desk is one of the busiest jobs in the clinic. The same person checking in the 10 a.m. patient is also collecting payment from the 9 a.m. patient, confirming tomorrow's schedule, sending a predetermination to an insurer and answering the phone. When two of those happen at once, the phone loses.

Calls also cluster at the worst times: first thing in the morning, when people wake up with a toothache; at lunch, when patients finally have a minute; and after 5 p.m., when the clinic is closed but people are free to call. A single coordinator can't cover all of that, and adding another full-time person for the phone alone is a big cost for most practices.

What a missed call costs a dental clinic

A new patient isn't one appointment. A family that joins your practice may book cleanings, exams and X-rays for years, plus any restorative work along the way. When a new patient's first call goes to voicemail, many will simply try the next clinic on the map. You never see the lost patient; you just see a schedule that isn't as full as it should be.

Existing patients cost you too. A patient who wanted to move their appointment and couldn't reach anyone may just not show up, leaving a hygienist with an empty hour that could have been filled. And an emergency caller in pain will book wherever answers first.

You can estimate your own numbers with the missed-call calculator: how many calls a week you miss, what share are new patients, and what a new patient is worth to your clinic over a year.

Calls your receptionist handles for a dental clinic

Real situations, and exactly what Wirepilot AI says and does in each one. Names, prices and times are examples; yours come from your setup.

New patient booking a cleaning

The caller: Just moved to the area and wants a cleaning and check-up for herself and her son.

The receptionist says: Welcome! I can book you both. Would you like back-to-back appointments? I have Thursday at 3:30 and 4:30, or Saturday morning.

What it does: Books both appointments with the hygienist, collects names, dates of birth and insurance provider, and texts the new-patient forms and your address.

Toothache after hours

The caller: Calls at 8 p.m. with a cracked molar and swelling.

The receptionist says: I'm sorry you're in pain. If the swelling is spreading or you're having trouble breathing or swallowing, please go to the nearest emergency department or call 911. Otherwise, I can book you into our first emergency slot tomorrow at 8 a.m.

What it does: Books the held emergency slot, marks the booking as urgent, and texts the on-call dentist or office manager a summary if you've asked for after-hours alerts.

Insurance question

The caller: Wants to know if the clinic bills insurance directly.

The receptionist says: Yes, we bill most insurance plans directly, so you only pay any portion your plan doesn't cover. Would you like to book an appointment?

What it does: Answers from your approved billing information. Coverage questions about a specific treatment become a message for your front desk, since only the insurer can confirm those.

Rescheduling a hygiene appointment

The caller: Can't make tomorrow's 2 p.m. cleaning.

The receptionist says: No problem. I can move you to Monday at 2 p.m. or Wednesday at 9. Which works better?

What it does: Moves the appointment in your calendar, frees the original slot for someone else, and confirms the new time by text.

Question about a treatment

The caller: Asks whether a crown or a filling is better for a chipped tooth.

The receptionist says: That's a question for the dentist. I'll ask them to call you back, or I can book you a consultation so they can look at the tooth.

What it does: Never gives clinical advice. Books a consult or takes a detailed message flagged for the dentist.

French-speaking patient

The caller: Starts the call in French to ask about opening hours on Saturday.

The receptionist says: Oui, nous sommes ouverts le samedi de 9 h à 14 h. Voulez-vous prendre rendez-vous?

What it does: Continues the whole call in French, books if needed, and sends you the summary in English.

What matters most for dental clinics

New-patient intake

Collects the details your front desk needs before the first visit and texts new patients your forms and directions.

Protected emergency slots

Books urgent calls only into the slots you hold for emergencies, so the hygiene schedule stays intact.

Recall and reschedules

Handles moves and cancellations by phone and puts freed slots back into circulation. See appointment booking.

Bilingual answering

English and French on every plan, so francophone patients are served in their language. See bilingual answering.

Overflow, not replacement

Forward only the calls your team can't pick up, so the front desk still handles the calls they want to.

Callers who speak other languages

In larger cities, many patients are more comfortable booking in a language other than English or French. On Growth and Pro, the receptionist detects the caller's language and answers in it, including Spanish, Portuguese, Arabic, Hindi, Chinese (Mandarin), Korean and Polish. See multilingual answering.

Setting it up for a dental clinic

During setup we go through the calls your front desk takes most and decide together how each should be handled:

  • Appointment types: new-patient exam and cleaning, recall hygiene, emergency exam, consult, and anything your clinic wants booked only by staff (such as treatment appointments that need a treatment plan).
  • Which provider for what: hygienists for recalls, dentists for emergencies and consults, and the days each person works.
  • Emergency rules: what counts as urgent (swelling, trauma, a lost filling with pain) and the slots you hold for it each day.
  • Billing answers: direct billing, accepted plans, payment options and what you'd like said about the Canadian Dental Care Plan, if your clinic participates.
  • Forms and directions: the link to your intake forms, parking notes and accessibility information.

A tip from clinics that get the most out of it: keep emergency slots in the calendar every day, even if you release them to staff at noon. That gives the receptionist somewhere to put the patient in pain at 7 a.m., instead of a message nobody sees until nine.

Works with the tools you use

Most clinics run a dental practice-management system for charts and scheduling. Wirepilot AI books into Google or Outlook Calendar, or into a booking tool such as Calendly or Acuity, and can send each booking and message to your team by email, Teams or Slack. On Growth and Pro, automations with Zapier, Make and webhooks can connect to other systems. Tell us which practice software you use and we'll confirm what's possible before you start.

Patient privacy and clinical boundaries

Your receptionist handles the front desk's phone work: bookings, hours, directions, billing questions and messages. It never gives medical advice, never diagnoses and never tells a caller what treatment they need.

  • Callers describing an emergency are told to call 911 or go to the nearest emergency department.
  • Clinical questions become a message for your team, marked for a callback.
  • It asks only for what's needed to book, such as the type of appointment, not a description of symptoms.
  • Recordings, transcripts and summaries are only visible to your account's users.

Questions from dental clinics

Will it give patients dental advice?

No. It never gives clinical advice. Treatment questions become a consult booking or a message for the dentist, and callers with severe symptoms are directed to emergency care.

Can it book directly into our practice-management software?

It depends on your software. Wirepilot AI books into Google or Outlook Calendar and common booking tools, and can pass bookings to other systems through automations on Growth and Pro. Tell us which software you use and we'll confirm the best setup.

How does it handle dental emergencies after hours?

You define what counts as an emergency. The receptionist books urgent patients into your held emergency slots, alerts your on-call contact if you want, and tells anyone with spreading swelling or trouble breathing to go to emergency care.

Can it answer insurance questions?

It can answer general questions you approve, like whether you bill directly or accept a certain provider. It won't guess at a patient's coverage for a specific treatment; that becomes a message for your team.

Will our front desk still answer the phone?

Yes, if you want. Most clinics forward only the calls their team can't pick up and the after-hours calls.

Can it text patients their forms?

Yes. After booking a new patient, it can text them your intake forms link, your address and parking details.

Is patient information kept private?

Call data is only visible to your account's users and our support team when needed. See security and privacy, and ask us about any specific requirements for your clinic.
